Team seats and roles

What each of the nine roles can do, which roles each person sees, and how inviting, changing and removing teammates works.

Your Luminid account belongs to your organization. Everyone hiring with you works inside it, each with their own seat and a role. The role decides what they can do. For most roles, being put on a specific opening decides where they can do it.

Five kinds of seat

Luminid has nine role titles, and they sort into five columns. Titles in the same column carry exactly the same powers, so pick the title that matches the person's job.

  • View only. Hiring Manager, Department Head and Executive. On the roles they are on, they read the pipeline and simulation results, watch recordings, read transcripts, leave feedback, book interviews and message applicants. They do not move applicants or change the role.
  • Recruiting. Recruiter and Talent Acquisition. Everything a view-only seat does, plus creating roles, editing, publishing and closing them, moving applicants, recording decisions, sending offers and sharing shortlists, all on the roles they are on.
  • People leaders. HR Manager and People Operations. Everything a recruiter does, on every role in the company, plus analytics across all of them and inviting, re-roling and removing teammates up to their own level.
  • Admin. Everything a people leader does, plus the company settings and trust page, and the power to make someone an admin or change an admin.
  • Owner. One per company. Everything, including billing, API keys, viewing Luminid as a teammate, transferring ownership and deleting the company. An owner can hand billing and API keys to a named admin.

The full table sits at the bottom of Settings, under Team. Luminid draws it from the same rules it enforces, so the table and the product always agree.

Which roles each person sees

The owner, admins and people leaders see every role in the company. Everyone else opens only the roles they are on. A teammate joins a role when they create it or when someone names them as its approver, and whoever is named as a role's approver signs it off, whatever their seat.

Inviting, changing and removing

Owners, admins and people leaders send invites by email from Settings, under Team, and pick the role at invite time. The link works for 7 days. Cancel stale invites so the list stays honest.

A role change takes effect on the person's next click. Nobody can give a role above their own, so only an owner or an admin can make someone an admin or change an admin.

Removing someone ends their access immediately and frees their seat. Everything they did stays on the record under their name.

Nobody can remove the owner or change the owner's role. The owner hands ownership over under Transfer ownership and becomes an admin when they do.

Seats

Seats are unlimited on every plan. Invite everyone who takes part in hiring, each with the role that matches their job.

Two practices worth adopting

Remove seats the day someone leaves the hiring team. You are responsible for who acts inside your organization, and stale access is the most common audit finding in any hiring system. And give hiring managers their real role rather than sharing recruiter credentials, because shared logins make your pipeline history unreliable about who decided what.
